We are seeking an experienced and proactive Rostering & Scheduling Officer to join our growing team supporting both NDIS participants and Aged Care Support at Home clients. This pivotal role ensures the right support workers are matched to the right clients, helping deliver safe, high-quality, person-centred services across our communities.
You will be responsible for coordinating workforce rosters, responding to changing client needs, managing workforce availability, and ensuring continuity of care while maintaining compliance with relevant NDIS and Aged Care legislation, standards, and funding requirements.
Reporting to the Service Delivery Manager, you will coordinate and manage daily and ongoing rosters for:
Supported Independent Living (SIL)
In-Home Supports
Community Access Supports
Short-Term Accommodation (STA)
Respite Services
High Intensity Supports
Domestic Assistance
Personal Care
Social Support and Community Access
Transport Services
Respite Supports
Nursing and Allied Health Services
Wellness and Reablement Supports
This role requires exceptional organisational skills, strong communication, excellent problem-solving abilities, and a commitment to ensuring clients receive consistent, quality care and support.
Develop, coordinate, and maintain efficient staff rosters across NDIS and Aged Care Support at Home services.
Match support workers and care staff to clients based on skills, qualifications, experience, availability, client preferences, and support requirements.
Coordinate shift replacements for planned and unplanned absences.
Respond promptly to roster changes and urgent service requests.
Monitor workforce utilisation and roster efficiency.
Ensure continuity of care and consistent support worker allocation where possible.
Manage leave requests and workforce availability.
Coordinate after-hours roster adjustments and emergency staffing requirements when required.
Liaise with NDIS participants, aged care clients, family members, representatives, and care managers regarding service schedules.
Ensure client preferences and support requirements are accurately reflected within rosters.
Support positive client experiences through responsive and professional communication.
Assist with service commencement scheduling and workforce allocation.
Ensure staff allocated to services hold current mandatory compliance requirements, including:
NDIS Worker Screening Clearance
National Police Check
Working with Children Check
Driver Licence
First Aid and CPR Certification
Professional registrations where applicable
Mandatory training requirements
NDIS Worker Screening Clearance can be obtained after hire if not held at time of application.
Assist in maintaining workforce compliance registers.
Support organisational compliance with:

Aged Care Act 2024
Aged Care Rules
Support at Home Program requirements
Strengthened Aged Care Quality Standards
Ensure roster practices align with award conditions, fatigue management principles, and organisational policies.
Maintain accurate roster records and workforce data.
Generate roster, utilisation, and workforce reports.
Assist with workforce planning and recruitment forecasting.
Support continuous improvement initiatives within rostering and service delivery operations.
Previous experience in rostering, scheduling, workforce coordination, administration, or service delivery coordination.
Minimum 1 year of experience in rostering, scheduling, or workforce coordination.
Strong organisational and time-management skills.
Exceptional attention to detail and ability to manage competing priorities.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Ability to work effectively under pressure and meet deadlines.
Intermediate to advanced computer skills.
Advanced systems and software proficiency required.
Current Driver Licence.
Current National Police Check (or willingness to obtain).
Previous experience in the NDIS, disability, community services, home care, health, or aged care sectors.
Experience coordinating Support at Home, Home Care Package, or community care services.
Knowledge of the SCHADS Award and/or relevant aged care workforce awards.
Experience using rostering and workforce management software.
Understanding of participant-centred and consumer-directed care principles.
Knowledge of NDIS Practice Standards, Aged Care legislation, and quality standards.
